Understanding the Difference: Real Estate Agency vs. Property Management. And Where We Stand

In Pattaya's busy property market, it’s easy for the lines between a real estate agency and a property management company to become blurred. At Alan Bolton Property Consultants, we believe it’s time to clearly define those roles — and clarify when and how we take on property management responsibilities.

This article is for landlords, tenants, and anyone else working with us, so expectations are clear from the start.

What’s the Difference? Real Estate Agency vs. Property Management

Real Estate Agency Property Management
Helps landlords rent or sell their property by sourcing and qualifying tenants or buyers. Takes care of the property after it’s rented — including tenant support, maintenance coordination, and repairs.
Earns a one-time commission once a tenant signs the lease. Charges a separate management fee — typically paid annually or from renewals.
Tenant communicates directly with landlord unless management is arranged. All tenant issues go through the property manager.

How Our Fees Work

  • We collect 1 month’s rent as a placement fee for a 12-month rental contract.
  • We only act as property managers if a separate management agreement is signed.
  • The management fee is collected after 12 months — only if the tenant renews and the landlord agrees to continue with us.
  • If there’s no renewal or management continuation, we are not paid beyond the original placement fee.

Step-by-Step: What We Actually Do

Note: This is just a summary. Each bullet involves multiple moving parts, experience-driven decisions, and years of local knowledge. The reason these steps look simple is because we’ve refined the process through hundreds of successful tenancies.

1. New Listing Onboarding

  • Collect full property details and quality photos
  • Advise on realistic market rent
  • List on major property portals and internal systems

2. Tenant Search and Screening

  • Manage all inquiries
  • Schedule and conduct viewings
  • Screen applicants (ID, proof of income/funds)

3. Rental Agreement & Move-In

  • Draft contracts in English and Thai
  • Coordinate check-in time and key handover
  • Assist with utility setup and orientation

4. Settling-In Period (First Month)

  • Resolve minor issues (repairs, missing items)
  • Help the tenant feel comfortable in the home

Management or Not? Where the Path Splits

After the tenant has moved in and settled, there are two possible paths depending on whether a management contract is signed.

Without Management Contract With Management Contract
Our role ends after check-in (usually after 30 days). We continue to act as the tenant’s main point of contact.
Tenant communicates directly with the landlord. We coordinate all issues, rent, repairs, and ongoing needs.
No renewal fee owed to us. We are entitled to a renewal fee if the tenant stays on.

Legal Validity of the Management Agreement

  • Under Thai law, a signed property management contract is legally binding.
  • It must include a clear clause confirming our entitlement to a renewal fee if the tenant renews.
  • The renewal clause should apply regardless of who initiates the renewal.
  • If the landlord believes we failed to manage the property, they must show that no service was provided after the first month.

What We Do Throughout the Year (Management Role)

  • Field all tenant calls and requests
  • Troubleshoot problems (AC, plumbing, WiFi)
  • Arrange and supervise repairs with reliable contractors
  • Handle emergencies (lockouts, water leaks, etc.)
  • Conduct follow-ups and tenant satisfaction checks
  • Coordinate cleaning or pre-arrival setups
  • Pay bills on owner’s behalf (if agreed)
  • Keep clear records and communication with landlord
  • Monitor lease terms, rent payment, and renewal readiness
